Create your first stock list
A stock list keeps its own items, daily counts, history and variance report — for example, one per stand or counter. You can add more any time from "Manage lists".
Used = Opening + Received − Closing (physical). Raw Variance = Till Reading − Used. Net Variance adds back confirmed Damages/Wastage — what's left is unexplained. The combined-variance figure mixes kg and each-count items, same as the paper sheet's totals line — read it as a rough headline, not a true sum. Only today's sheet is open for editing — any other date is locked and needs the edit-lock password (set in Manage Items) to unlock.
Combined net variance by day
Daily summary
Variance by item, for the selected period
| Item | Days counted | Total used | Total till | Total damages | Net variance | Avg / day |
|---|---|---|---|---|---|---|
Totals are summed across every day recorded in the range above. Short/Over here widens its per-day tolerance in proportion to how many days an item was counted, so ordinary day-to-day wobble doesn't get flagged over a longer stretch. As with the daily view, a combined kg+each total is a rough headline, not a true sum. Click a column heading to sort by it (again to reverse); the boxes below the headings filter to rows at or above that value — numbers can be negative, e.g. "-5" on Net variance to see everything short by 5 or more.
Variance by day, for the selected period
| Date | Staff | Items counted | Short | Over | Combined var. | Worst item |
|---|
One row per day recorded in the range above — click a row to jump to that day on the Stock tab. Short/Over counts here are per-day (same tolerance as the daily Stock tab), unlike the "By item" view above which widens its tolerance across the whole range. Click a column heading to sort (again to reverse); newest first by default.
Every item's variance, day by day
One row per item, one column per day recorded in the range above — each cell is that item's net variance for that day ("–" means it wasn't counted that day). Click the Item or Total heading to sort; click Total again to reverse. Scroll sideways to see more days. For very long ranges, narrow the period above for a table that stays readable.
Stock On Hand
| Item | By list | Total on hand |
|---|
Adds together the most recently recorded closing count for each item across every stock list — a list that hasn't done today's count yet still contributes its last known figure rather than zero. Items with the same name and unit on different lists are combined into one row; an item that's never been counted anywhere shows as "not yet counted" and counts as zero toward the total.
Items belong to one shared catalog and can be on any number of lists at once — use "Choose items for this list" to add existing items here, or "Add item" to create a brand-new one (added to this list automatically). Switching an item off hides it from this list's new count sheets but keeps every past record intact. "Remove" takes it off this list only — the item and its history stay on any other list it's part of, and in the catalog for later. Import CSV expects a header row with Name, Category and Unit (kg or each) columns — a name that matches an existing catalog item is attached rather than duplicated.
Edit-lock password
Every day except today is locked automatically. This password unlocks a past day for editing — change it any time; the new one takes effect immediately for everyone sharing this sheet.
